The Role

Are you an awesome organiser? The VicTrack People and Culture (P&C) team is growing – because of this growth, we are looking for a People & Culture Coordinator to provide high-level coordination and administrative support to the P&C team through supporting the timely delivery of people processes and projects. As an integral member of the P&C team, you will be responsible for ensuring that team calendars, schedules, processes, communications, projects and documentation are coordinated, managed and streamlined to enable our customers to receive the best possible service.

In addition, you will provide support services to the Group Manager, People & Culture by way of diary management and secretariat services for important organisational Committees.

Key Responsibilities:

  • Provide generalist P&C operational support to the Business Partnering team, including triaging and responding to queries, delivering P&C reporting and insights, supporting people processes (e.g. recruitment, performance, exits), and contributing to system, data, and process improvements.
  • Working in partnership with the new Learning & OD Coordinator, to provide coordination and administrative support to the P&C team by managing shared inboxes, triaging and redirecting enquiries, coordinating onboarding activities, event coordination and organising and delivering the enterprise-wide New Starter Induction program.
  • Provide end-to-end project coordination and administration support to major P&C initiatives by maintaining detailed project documentation, action registers, plans, timelines and status reports; tracking milestones and dependencies; proactively managing competing deadlines and escalating risks or overdue actions as required.
  • Maintain accurate, complete and compliant records, ensuring a high degree of attention to detail, document integrity, version control, and consistency across P&C documentation.
  • Prepare clear, accurate and high-quality reports, briefings, presentations and executive materials, and maintain P&C intranet content, including new starter resources and employee facing information, ensuring accessibility, accuracy and consistency.
  • Provide administrative, coordination and system testing support for automation initiatives, contribute to data tracking and reporting, and assist with the transition to a contemporary HRIS and streamlined, technology enabled ways of working.
  • Provide professional diary management and secretariat support to People & Culture, transformation working groups and committees chaired by the Group Manager, People & Culture, including preparation of agendas and papers, minute taking, action management, and timely distribution of documentation.
  • Coordinate People & Culture led events, forums and training sessions, including venue and room bookings, liaison with communications teams, preparation of materials and run sheets, and coordination of logistics to ensure professional, well executed outcomes.
  • Provide administrative support for invoice processing, assist with tracking and reporting against the P&C budget, and handle sensitive information with a high level of discretion.

Qualifications:

  • Relevant tertiary qualification in Human Resources, or equivalent (mandatory).

Knowledge & Experience:

  • Demonstrated experience in a P&C coordination role within a complex organisation. Experience with confidently triaging and resolving queries, delivering P&C reporting supporting core people processes, and contributing to continuous improvement initiatives across systems, data and processes.
  • Demonstrated ability to work proactively within a project environment, anticipating requirements, identifying potential issues early, and taking initiative to support project outcomes.
  • Highly developed organisational and task management skills, with the ability to bring together many inputs, manage conflicting deadlines and prioritise work under pressure.
  • Strong attention to detail with a track record of producing accurate, high-quality outputs, maintaining data integrity, and ensuring consistency and compliance across documentation and reporting.
  • Excellent written and verbal communication skills, including the ability to prepare clear project documentation, reports, and dashboards. Able to communicate proactively, manage stakeholder expectations and escalate risks where required.
  • Well-developed stakeholder engagement skills, with the ability to build trusted relationships and provide high-quality, responsive support to leaders and employees at all levels.
  • Strong Microsoft Office suite skills, particularly advanced Excel proficiency for data tracking and reporting.
  • Prior HRIS experience, TechnologyOne is preferable.
